How to use the Time Block Planner PRO in Notion

A native Notion planner for work, study and personal life, with connected task views, live planning summaries, optional deadlines and weekly capacity budgeting, and reusable task templates.

Quick start: set up the Time Block Planner PRO

  1. Duplicate the top-level Time Block Planner PRO page into your workspace, not just one task view.
  2. Open Inbox, choose New, then New Task, and rename it to a real next action, such as "Read chapter 3".
  3. Set Time Block to today. For a focused session, turn on Include time and End date, check the timezone in the date picker, then choose a start and a later end.
  4. Open Today and check Daily Highlight on your most important task.
  5. Check Done when the task is finished. It moves to Completed; it is not copied.

Time Block Planner PRO FAQ

Answers to the most common questions, taken from the template's own documentation.

What do I have to fill in to use Time Block Planner PRO?

You only need Task, Time Block and Done. Everything else is optional.

What do Time Block, Done and Archived mean?

Time Block is when you plan to do the task. Leave it empty for Inbox, choose a date for an untimed task, or set start and end times for a session. Done is the only completion control: check to finish, uncheck to reopen. Archived removes a task from live planning without deleting it, and unchecking restores it.

Is Time Block a deadline?

No. Time Block is when you plan to do the work. Use the optional Due Date for a calendar-day deadline. You can schedule a session before it is due, and Due Date does not create a reminder by itself.

How do I remove the sample tasks and start with a blank plan?

The template includes 18 fictional SAMPLE tasks (14 unfinished, 2 completed and 2 archived references) so you can explore the views. To start blank, open the Example library in the Review & archive section, select the SAMPLE tasks and check Archived. Keep the Tasks source and the planning snapshot intact.

Where does each task show up?

Inbox holds unfinished, unarchived tasks with no Time Block. Today shows tasks starting today, with Daily Highlight first. Upcoming shows tasks starting after today. Overdue shows unfinished tasks whose planned start day is before today. Calendar shows all dated, unfinished, unarchived tasks. Completed and Archived let you review or restore work, and All tasks finds any task in any state.

Why is my task missing?

Search its name in All tasks before creating a duplicate. Done tasks leave active screens, and archived tasks also leave Completed. No Time Block means Inbox, a past planned start means Overdue, and a future start means Upcoming. A timeline session needs a positive start and end range. If task views look right but the snapshot is incomplete, check Tasks and then Not in overview.

Why does a timed task appear a day early or late?

Open the task's Time Block and check its timezone, especially for sessions near midnight or dates imported from another tool. Today and Overdue use calendar days, not minute-by-minute lateness, and tasks do not roll forward automatically.

What task templates are included?

New Task (a simple next action), Deep work session (60 min starting estimate), Admin batch (30 min), Weekly reset (30 min), Daily shutdown (10 min) and Routine task (30 min). Open the dropdown next to New in a task view to use one.

How do I make a routine repeat?

Repeat schedules are not enabled by default. Open the dropdown next to New, find the template, choose its menu, then Repeat, and pick your cadence, start date and creation time. Keep Done and Archived unchecked and fixed Time Block or Due Date values blank in the template. Each repeat creates a fresh task in Inbox until you schedule it.

What does the planning snapshot show?

Daily progress shows done and planned tasks, a percentage and the remaining count for tasks starting today. Weekly load shows planned hours for tasks starting Monday to Sunday. Capacity compares that with an optional weekly budget in hours that you enter. Hours measure planned ranges, not actual work, and the snapshot reflects your current plan rather than a completion history.

Which optional details can I add to a task?

Project, Tags, Priority (High, Medium, Low), Block Type, Estimate in minutes, Target Outcome and Next Action, Daily Highlight and Weekly Priority, and Category and Notes. Use them only when they help.

What is a simple planning rhythm?

Open the day in about 3 minutes: review Overdue, choose one Daily Highlight, and add essentials, a break and buffer. Close the day in 2-10 minutes: check Done, re-plan unfinished work and write tomorrow's first action. Reset the week in 15-30 minutes: review Completed, Inbox and projects, clear outdated Weekly Priority choices and archive what no longer matters.

Can I customize Time Block Planner PRO?

Yes. You can rename Project and Tags labels, adjust estimates, and change the cover and icons. Keep the Tasks source, the Planning snapshot and Template files intact, because changing property names or deleting fields can affect formulas and views.

What is not included in Time Block Planner PRO?

It does not automatically prevent overlaps, reschedule tasks, enforce priority limits, track actual time or record completion timestamps. No Pomodoro timer, external integration, paid automation or repeating schedule is enabled by default.
